Depending on the tool, meeting notes software can record, transcribe, and draft a summary with action items. Check which steps your approved setup supports.

3. A follow-up task list, each task with a suggested owner and a due date.

Review each proposed task, confirm the owner and due date, then add it to your working task list.

The prompt that turns a transcript into tasks

Use this sample prompt with a transcript approved for processing in the tool:

You are my real estate transaction assistant. Below is the transcript of a buyer consultation. Produce three things. First, a five-sentence summary. Second, the buyer's criteria as a table with columns for field and value, covering budget, timeline, areas, financing, must-haves, and deal-breakers. Third, a numbered follow-up task list, each with a suggested due date, written as actions I can drop straight into my CRM. Only use what is in the transcript. If something is unclear, list it under a short "confirm with client" heading.

Check the summary for missed qualifications or incorrect details. A suggested due date is not a client commitment until you confirm it.

Tasks only matter if they run

Capturing tasks is half the job. Running them is the other half. Your follow-up should go out on schedule, in your voice, and land as help rather than pressure.

Where to start if you have never done this

Keep it compliant and human

Two guardrails. First, the model drafts, you decide. Never let AI send a client message you have not read. Second, client details belong in your CRM and nowhere else. A transcript is a record of a real person's finances and plans, so treat it like one.

Keep a person responsible for checking the notes and completing the follow-up. A recording does not guarantee that every detail will be transcribed or summarized correctly.
