Prepare for Relocation Referrals

Help a remote buyer get oriented with clear questions, an area overview and agreed updates. Keep the client and referring agent informed within the arrangement.

A relocation client may be comparing homes from another state and working toward a moving date. Start by learning what they need, how they prefer to communicate and what they have already discussed with the referring agent.

A short written overview and scheduled calls can help a remote buyer review information at their own pace. Choose the format with the client rather than assuming every person prefers email or video.

Where relocation referrals actually come from

Start with the sources that run on reputation, not cold outreach.

Agent-to-agent referrals are one source. An agent in another state has a client moving to your market and needs someone they trust. Brokerage referral networks are another. Ask how your brokerage assigns work and what participation requires.

Two more exist but sit further out. Relocation management companies place corporate transferees, usually with service standards and a referral fee attached. Your own past clients and sphere move too, or they know someone who is.

Begin with the sources you can learn about and support consistently. Ask your broker how referrals are handled.

Send a one-page relocation profile within 24 hours

This is the whole system, and it is repeatable.

When a referral arrives, acknowledge it and ask how the client would like to begin. A short written overview can support the first conversation.

The 24-hour checklist

  • Confirm the four basics in writing: timeline, budget, must-haves, and the commute anchor (their work address).
  • Send a short area orientation covering three or four parts of town: typical price bands, commute times, and the kind of homes each area holds. Keep it to facts a buyer can act on, not opinions about who lives there.
  • Attach a short walkthrough video or a clean PDF so a remote client can absorb it without a live call.
  • Set a weekly update cadence and state it plainly, so they know when they will hear from you next.

The overview gives the client something to review and a starting point for questions. Confirm any delivery time before promising it.

The first message you send

You do not need a clever opener. You need a calm, organized one. Something like this works:

Hi [name], [referring agent] connected us and I am glad to help with your move to [city]. To get you a useful plan fast, can you confirm your target move date, your budget range, and the address you will be commuting to? I will send back a short area overview and a walkthrough video within a day, then we can set a weekly check-in that fits your schedule.

Adapt the message to the services you can provide and a response time you can meet.

A Practice Scenario

A buyer is relocating to Katy and can only visit briefly. Prepare an area overview using the buyer’s stated budget, commute and property needs. Offer a video walkthrough, then ask which questions they want to discuss on a call. This is a planning example, not a client-result story.

Answer fast, and answer in writing

Responsiveness is the lever that matters most on relocation files.

Acknowledge the inquiry and give a response time you can meet. After a call, send a written summary of the decisions, open questions, and next steps so the client has a record to review.

Protect the relationship with the referring agent

Serve the client’s needs and keep the referring agent informed within the agreed arrangement and the client’s permissions.

Send a thank-you and a first-contact update within a day of receiving the referral. Update them again at contract and at closing, without being asked. Confirm any referral fee and payment conditions through the written broker-approved agreement. That reliability is what turns one referral into a standing source.

Turn one relocation client into the next referral

Keep a simple ledger of where each referral came from, so you know which relationships to nurture.

Ask for the next introduction in writing, low pressure, once the client is settled and happy. The same quiet, systematic follow-up that won the deal is what earns the referral after it.
